CocoMind is a personal assistant that captures your thoughts (by voice or text) and organizes them for you. Privacy sits at the core of the product: here, plainly, is what we collect and why.
Your captures: the text of your thoughts, reminders and notes (the transcript of your voice). Audio is transcribed and never stored.
Your account: an anonymous identifier is created automatically. If you link an account (Apple, Google, email), we store the associated email address.
Assistant memory: the preferences the assistant learns to serve you better. You can view, edit and delete them in Settings → Memory.
Technical data: anonymized crash reports (Crashlytics) and minimal operational data.
Subscription: your subscription status (via RevenueCat, Apple or Google). We never see your payment details.
3. What we do NOT collect
Your contacts: when you ask to message someone, the contact lookup happens entirely on your phone. No contact is ever sent to our servers.
Your GPS location: never collected. If you provide a city, that is information you typed yourself, used for weather.
4. Where is your data stored?
On Google Firebase (Cloud Firestore), in the europe-west1 (Belgium, European Union) region.
5. Artificial intelligence
To transcribe your voice and organize your thoughts, the content of your captures is processed by OpenAI APIs. This data is sent securely, used solely to provide the service, and is not used to train OpenAI's models (per OpenAI's API policy).
6. What we never do
We never sell data, to anyone.
No advertising, no ad trackers.
No background listening: the microphone is only active when you start a capture.
7. Your rights (GDPR)
At any time you can:
Delete your account and all your data from within the app: Settings → Delete my account. Deletion is immediate and permanent.
View and erase the assistant's memory: Settings → Memory.

8. Retention
Your data is kept for as long as your account exists. A deleted item goes to the trash and is permanently erased after 30 days. Deleting your account erases all your data from our servers.
9. Children
CocoMind is not directed at children under 13 and we do not knowingly collect their data.
10. Changes
If this policy changes, the date at the top will be updated and significant changes will be surfaced in the app.
